Overview
We're looking for a proactive Administrative Assistant to support our Manager and day-to-day operations of two offices. This role requires someone comfortable managing shifting priorities, handling confidential information with discretion, and traveling regularly between both locations as needed.


Key Responsibilities
  • Manage calendaring, scheduling, correspondence, and daily priorities for the Manager.
  • Draft and proofread emails, memos, reports, presentations, and other business correspondence.
  • Handle front-office duties: mail, filing, phones, and ordering/tracking office supplies and equipment.
  • Greet clients and vendors and coordinate visitor access.
  • Serve as a point of contact between vendors/building staff and the organization, including routing maintenance requests and light property management tasks.
  • Process invoices and track expenses.
  • Schedule and confirm appointments, meetings, and travel arrangements.
  • Organize and execute company events, meetings, and conferences (onsite and offsite) from planning through completion.
  • Assist with special projects and research as assigned.
  • Maintain organized digital and physical filing systems.
  • Handle tasks proactively and follow through on projects to completion; run errands as needed.
  • Maintain confidentiality of sensitive business and personnel information at all times.
  • Travel between the two San Francisco/Bay Area locations as needed to support both sites.
  • Perform other general administrative duties as assigned.
Schedule & Location
  • Part-time, approximately 20 hours/week (4 hours/day)
  • On-site position requiring regular travel between two locations in the Bay Area
  • Schedule coordinated with the Manager based on business needs
  • Reliable transportation required

Experience & Skills Required
  • Strong organizational skills, attention to detail, and a team-player mindset
  • At least 2 years of experience in an operations setting and/or as an Executive Assistant
  • Intermediate+ proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Professional demeanor and discretion when handling confidential information
  • Associate's degree from an accredited institution, or equivalent work experience, preferred
