We're looking for a proactive Administrative Assistant to support our Manager and day-to-day operations of two offices. This role requires someone comfortable managing shifting priorities, handling confidential information with discretion, and traveling regularly between both locations as needed.
Key Responsibilities
- Manage calendaring, scheduling, correspondence, and daily priorities for the Manager.
- Draft and proofread emails, memos, reports, presentations, and other business correspondence.
- Handle front-office duties: mail, filing, phones, and ordering/tracking office supplies and equipment.
- Greet clients and vendors and coordinate visitor access.
- Serve as a point of contact between vendors/building staff and the organization, including routing maintenance requests and light property management tasks.
- Process invoices and track expenses.
- Schedule and confirm appointments, meetings, and travel arrangements.
- Organize and execute company events, meetings, and conferences (onsite and offsite) from planning through completion.
- Assist with special projects and research as assigned.
- Maintain organized digital and physical filing systems.
- Handle tasks proactively and follow through on projects to completion; run errands as needed.
- Maintain confidentiality of sensitive business and personnel information at all times.
- Travel between the two San Francisco/Bay Area locations as needed to support both sites.
- Perform other general administrative duties as assigned.
- Part-time, approximately 20 hours/week (4 hours/day)
- On-site position requiring regular travel between two locations in the Bay Area
- Schedule coordinated with the Manager based on business needs
- Reliable transportation required
Experience & Skills Required
- Strong organizational skills, attention to detail, and a team-player mindset
- At least 2 years of experience in an operations setting and/or as an Executive Assistant
- Intermediate+ proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Professional demeanor and discretion when handling confidential information
- Associate's degree from an accredited institution, or equivalent work experience, preferred
